What information we collect

When you book an appointment

Our online booking system collects your name, email address, telephone number, the service you have booked and your appointment date and time, together with any notes you choose to add.

When you use a clinical service

To provide services such as travel vaccinations, blood testing, weight management, the NHS Pharmacy First service or contraception, we need to record information about your health. This may include your medical history, current medication, allergies, relevant symptoms, travel plans, measurements such as blood pressure or BMI, test results, and details of any treatment or vaccination we provide.

Information about your health is special category data under data protection law and is treated with a correspondingly high level of protection.

When you contact us

If you email, telephone or speak to us in the pharmacy, we keep a record of your enquiry and our response where it is necessary to do so.

When you use our website

We collect limited technical and usage information through cookies and similar technologies, including analytics data about how our pages are used. Full details are in our Cookie Policy.

Who we share your information with

We do not sell, rent or trade your personal information, and we do not share it for marketing purposes. We may share it with:

  • Your GP practice — where an NHS service requires us to notify them, for example after a Pharmacy First consultation, a vaccination or a contraception supply, so your medical record stays accurate.
  • NHS England, your Integrated Care Board and the NHS Business Services Authority — for the administration, payment and audit of NHS services.
  • Accredited laboratories — where you have a blood test, the sample and the information necessary to process it are sent to the testing laboratory.
  • UK Health Security Agency and NaTHNaC — where required in connection with travel health services, including yellow fever vaccination records.
  • Our service providers — the companies that run our booking system, website and email. They act as processors on our instructions and cannot use your information for their own purposes. They are named individually below.
  • Regulators and other bodies — including the General Pharmaceutical Council, or where we are otherwise required by law to disclose information.

Our service providers

These are the companies we rely on to run our booking, our website and our analytics. Each one receives only what it needs to do its job, acts on our instructions, and is bound by a contract requiring it to keep your information secure and confidential.

How long we keep it

We keep clinical records in line with the NHS Records Management Code of Practice. In general this means records are retained for eight years after your last contact with us for adults, and until a child’s twenty-fifth birthday (or twenty-sixth if they were seventeen at the last entry) for children.

Appointment and booking records that do not form part of a clinical record are kept only as long as we need them for administration and audit. Website analytics data is retained according to the settings described in our Cookie Policy.

Where your information is held

Your information is primarily stored within the UK or the European Economic Area. Some of our service providers, including analytics providers, may process data outside the UK. Where that happens we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Addendum.

How we protect your information

We use appropriate technical and organisational measures to keep your information secure, including access controls, encryption in transit, and staff training on confidentiality. Consultations involving health information take place in our private consultation room.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is inaccurate or incomplete
  • ask us to delete information, though this is limited where we are legally required to retain clinical records
  • ask us to restrict how we use your information
  • object to processing carried out on the basis of legitimate interests
  • ask for your information in a portable format, where it was provided by you and is processed by automated means
  • withdraw consent at any time, where we rely on consent

To exercise any of these rights, contact us at info@caxtonpharmacy.com or on 020 8460 0377. We will respond within one month.
